Terms & Conditions

General conditions applying to reservations and stays at Hotel 3 Paardekens.

Last updated: August 2026

These Terms & Conditions apply to reservations and stays at Hotel 3 Paardekens, Begijnenstraat 3, 2800 Mechelen, Belgium. By making a reservation, the guest confirms that they have read and accepted these general conditions together with any rate-specific conditions shown during the booking process.

1. Reservations and confirmation

A reservation becomes binding once it has been accepted and confirmed by the hotel or by an authorised booking platform acting on the hotel's behalf. Guests are responsible for providing complete and accurate contact, occupancy and payment information.

Where a reservation is made through an online travel agency, booking platform or other third party, that provider's booking conditions may also apply. In the event of a conflict concerning cancellation, payment or amendment conditions, the conditions attached to the specific booked rate or confirmation will take precedence over these general terms.

2. Rates, taxes and included services

Room rates and included services are those displayed at the time of booking and confirmed in the reservation confirmation. Local taxes, city taxes, breakfast, parking or other extras are included only where this is expressly stated.

Obvious pricing or technical errors do not create an entitlement to an incorrectly displayed rate. If such an error is identified, the hotel will contact the guest as soon as reasonably possible and offer the correct rate or cancellation without penalty where appropriate.

3. Payment and guarantee

Depending on the selected rate, the hotel may require a valid payment card, advance payment, deposit, pre-authorisation or another form of guarantee. The applicable payment conditions are shown during booking or in the reservation confirmation.

Guests remain responsible for all accommodation charges and additional services used during their stay. Any outstanding balance must be settled no later than departure unless another arrangement has been confirmed by the hotel in writing.

4. Cancellations, changes and no-shows

Cancellation and amendment conditions vary according to the rate or offer booked. The deadlines, charges and refundability stated in the reservation confirmation form part of the contract and take precedence over these general terms.

If a guest does not arrive and has not cancelled within the applicable conditions, the reservation may be treated as a no-show and the charge stated in the booked rate conditions may apply. Early departure does not automatically entitle the guest to a refund for unused nights.

5. Check-in, check-out and identification

Check-in and check-out times are those communicated by the hotel, displayed on the website or stated in the reservation confirmation. Early check-in and late check-out are subject to availability and may carry an additional charge where communicated by the hotel.

The hotel may require a valid official identity document at check-in and, where reasonably necessary, the payment card or other guarantee associated with the reservation. Guests must comply with legally required registration procedures.

6. Occupancy, children and visitors

Rooms may not be occupied by more persons than the confirmed maximum occupancy. All overnight guests must be registered where required by law or hotel procedure. Children and minors must be supervised in accordance with applicable law, and the hotel may require appropriate authorisation where a minor is travelling without a parent or legal guardian.

Visitors who are not registered as overnight guests must comply with hotel rules and may be restricted for security, safety or operational reasons.

7. Guest conduct and use of the hotel

Guests are expected to behave respectfully toward other guests, neighbours and hotel staff and to use the room and hotel facilities with reasonable care. Excessive noise, threatening or abusive behaviour, illegal activity, deliberate damage, interference with safety equipment, or conduct that seriously disturbs other guests may result in the hotel ending the stay without refund, to the extent permitted by law.

Smoking, pets, bicycles, equipment or other special-use requests are subject to the hotel's applicable rules and must be agreed in advance where required. Fire and safety instructions must be respected at all times.

8. Damage, excessive cleaning and missing property

The guest is responsible for damage or loss caused deliberately or negligently by the guest or persons for whom the guest is responsible. The hotel may recover reasonable and documented costs for repair, replacement or exceptional cleaning, subject to applicable law.

Hotel property may not be removed from the premises unless intended for guest use or explicitly authorised.

9. Personal belongings and lost property

Guests are responsible for taking reasonable care of their personal belongings. The hotel's liability for loss, theft or damage is limited to the extent permitted by applicable law and does not affect any liability that cannot legally be excluded or limited.

Items found after departure may be retained for a reasonable period. Return shipping or courier costs are normally the responsibility of the guest.

10. Room allocation and photographs

Photographs and descriptions are intended to represent the relevant room category and hotel facilities as accurately as reasonably possible. Individual rooms within the same category may differ in layout, dimensions, furnishings or view.

Specific room numbers, floors, views, bed positions or other preferences are requests only unless explicitly guaranteed in writing.

11. Unavailability and exceptional circumstances

If the hotel is unable to provide the confirmed accommodation because of an exceptional operational problem, force majeure or another circumstance beyond reasonable control, it will take reasonable steps to offer an appropriate solution, alternative accommodation or refund as required by applicable law and the circumstances of the booking.

The hotel is not responsible for failures or delays caused by events outside its reasonable control, except where applicable law provides otherwise.

12. Third-party services and external links

The hotel may provide links or access to services operated by independent third parties, including booking platforms, payment providers, maps or other external services. Those services are governed by the third party's own terms and privacy practices. The hotel is not responsible for the availability or content of independent third-party services except where the law provides otherwise.

13. Website information

The hotel takes reasonable care to keep website information accurate and current. Facilities, services, opening arrangements and other operational details may nevertheless change. Information contained in the guest's reservation confirmation takes precedence where it relates specifically to that reservation.

14. Privacy and personal data

Personal data is processed in accordance with applicable data-protection law and the hotel's Privacy Policy. Information about cookies and analytics is available in the Cookie Policy.

15. Complaints

Guests are encouraged to report any problem during the stay as soon as possible so that the hotel has a reasonable opportunity to investigate and, where possible, resolve it. Complaints after departure should be submitted in writing with sufficient information to identify the reservation and the issue concerned.

16. Liability

The hotel's liability is governed by applicable law. Nothing in these Terms & Conditions excludes or limits liability where such exclusion or limitation is prohibited by law, including mandatory consumer rights.

17. Applicable law

These Terms & Conditions are governed by Belgian law, without prejudice to mandatory consumer-protection rules or jurisdiction rights that apply to the guest under applicable law.

18. Changes to these terms

The hotel may update these general Terms & Conditions from time to time. The version applicable to a reservation is normally the version in force when the reservation is made, together with the specific conditions included in the booking confirmation.
